Refund & Cancellation Policy
Last updated: October 2026This Refund & Cancellation Policy explains the conditions governing cancellations, refunds, transfers and payment adjustments for courses, Communities, webinars, workshops, fellowships, observerships and other educational programmes offered by Recon Aesthetics Pvt Ltd, operating as Recon Institute of Aesthetic Medicine & Surgery (RIAMS). This Policy should be read together with the RIAMS Terms & Conditions and any programme-specific conditions communicated before registration.
1. Overview
RIAMS offers educational programmes in different formats, including online learning, live webinars, in-person courses, surgical and procedural training, and time-limited access to educational Communities.
Refund eligibility depends on the nature of the programme, the timing of the cancellation request, the services already delivered and any applicable programme-specific conditions.
Participants are encouraged to review the relevant programme details, access conditions and cancellation terms before completing registration.
All cancellations and refunds are subject to applicable law. Nothing in this Policy limits statutory rights or remedies available to participants.
2. Eligibility for Refunds
2.1 In-Person Courses, Workshops, Fellowships and Observerships
For participant-initiated cancellations of in-person courses, workshops, fellowships, observerships and other scheduled training programmes, the following refund schedule is proposed:
| Cancellation Request Received | Refund of Eligible Programme Fee |
|---|---|
| More than 60 calendar days before the programme begins | 75% |
| 31–60 calendar days before the programme begins | 50% |
| 15–30 calendar days before the programme begins | 25% |
| 14 calendar days or fewer before the programme begins | No refund |
The cancellation date is determined by the date on which RIAMS receives a written request at the designated email address.
For programmes involving multiple modules, the relevant commencement date and any module-specific cancellation conditions will be specified at registration.
The percentages apply to the eligible programme fee actually paid, subject to the applicable payment, discount and refund provisions in this Policy.
These terms are intended to reflect the advance commitments associated with faculty scheduling, institutional arrangements, venue reservations, training resources and limited participant capacity.
They apply only to the extent permitted by applicable law and must be disclosed before purchase.
2.2 Online Courses and Recorded Educational Content
Online courses and recorded educational programmes may provide access to lectures, demonstrations, videos, documents and other learning materials immediately following successful payment.
Refund eligibility depends on whether access has been activated, the extent to which the purchased service has been delivered, and the applicable terms disclosed before purchase.
Where digital access has been provided and educational content has been accessed or consumed, a refund will not ordinarily be available for a voluntary change of mind, except where required by law or the applicable programme conditions.
Where a participant has not received the purchased access or the service has not been delivered as represented, RIAMS will review the request and provide an appropriate remedy in accordance with applicable law.
2.3 RIAMS Communities
RIAMS Communities provide access to designated educational resources for 12 months from successful payment.
Community access begins immediately upon payment confirmation and does not renew automatically. Any subsequent 12-month period requires a separate purchase.
Because Community access is activated immediately, voluntary cancellation after access to the purchased educational resources has been provided will not ordinarily qualify for a refund, subject to applicable law and any expressly communicated exception.
Where payment has been completed but access has not been provided, RIAMS will first seek to resolve the access issue. If the purchased service cannot be provided, an appropriate refund or other lawful remedy will be offered.
The non-use of an active Community account does not, by itself, establish refund eligibility.
2.4 Live Webinars and Online Sessions
Free webinars do not involve a registration fee and therefore do not qualify for monetary refunds.
For paid live webinars or online sessions, the applicable cancellation deadline and refund conditions will be displayed at registration.
Where a paid session has commenced, been completed or made available to the registered participant as agreed, voluntary non-attendance does not ordinarily qualify for a refund.
Access to a webinar recording is included only where expressly stated in the programme description.
3. Non-Refundable Items and Payment Processing Charges
The following amounts or services may be non-refundable, subject to prior disclosure and applicable law:
- Services or educational components already delivered or consumed.
- Completed or partially attended programmes, to the extent provided under the applicable cancellation terms.
- Digital educational content accessed under the applicable purchase conditions.
- Registration or administrative charges expressly identified as non-refundable before payment, where legally permissible.
- Actual, non-recoverable third-party transaction-processing charges, where a lawful deduction applies.
- Promotional or discounted registrations where the relevant restrictions were clearly disclosed at purchase.
Payment Gateway and Transaction Charges
Where a refund is approved following a participant-initiated cancellation, RIAMS may deduct actual, non-recoverable payment-gateway or transaction-processing charges from the refundable amount, provided the deduction was disclosed before purchase and is permitted by applicable law.
Any such deduction will be based on the charges actually incurred and will not include an undisclosed additional administrative fee.
Where RIAMS is required to provide a full refund because of cancellation, non-delivery or another statutory entitlement, RIAMS will not deduct its own payment-processing costs from the amount legally refundable.
Taxes
Applicable taxes and any adjustments arising from refunds will be handled in accordance with prevailing tax laws and the relevant transaction documentation.
Refund calculations will be communicated to the participant where a partial refund or deduction applies.
4. Cancellation, Rescheduling or Changes by RIAMS
RIAMS makes reasonable efforts to deliver educational programmes according to the published schedule, format and programme description.
However, circumstances may require changes to faculty participation, session timing, programme structure, venue or delivery arrangements.
4.1 Reasonable Programme Adjustments
RIAMS may make reasonable operational or academic adjustments where necessary, provided the essential nature and educational value of the purchased programme are maintained.
A change in an individual faculty member, session sequence or minor scheduling detail does not automatically constitute cancellation of the programme or create an entitlement to a full refund.
Material changes affecting registered participants will be communicated through appropriate channels.
4.2 Cancellation by RIAMS
Where RIAMS cancels a paid programme and does not provide the contracted service, participants will be offered an appropriate alternative programme or date, or a refund in accordance with applicable law.
A participant will not be required to accept an alternative programme in place of a refund to which they are legally entitled.
Where a full refund is due because of cancellation by RIAMS, the refundable amount will not be reduced by RIAMS’s payment-processing costs.
4.3 Material Rescheduling
Where a programme is materially rescheduled, RIAMS will communicate the revised arrangements to affected participants.
If a participant cannot reasonably attend the revised programme, RIAMS will assess an appropriate transfer, refund or other remedy, taking into account the original purchase conditions, the extent of services already delivered and applicable law.
4.4 Travel and Accommodation Arrangements
Participants are responsible for making their own travel, accommodation, visa and related arrangements unless these services are expressly included in the purchased programme.
RIAMS does not ordinarily reimburse independently booked travel, accommodation, visa or other incidental expenses arising from programme changes, except where required by applicable law or expressly agreed in writing.
Participants are encouraged to make appropriate travel arrangements that account for the possibility of schedule changes.
5. Participant Withdrawal, Non-Attendance and Transfers
5.1 Voluntary Withdrawal
A participant who wishes to withdraw from a programme must submit a written cancellation request.
Refund eligibility will be determined according to the applicable programme category, cancellation schedule and any services already delivered.
Discontinuing participation or ceasing to use the learning platform does not automatically constitute an approved cancellation or establish refund eligibility.
5.2 Non-Attendance
Failure to attend a scheduled programme, webinar, workshop or training session without cancellation within the applicable deadline does not ordinarily entitle the participant to a refund.
Missed sessions due to personal scheduling conflicts, travel delays, visa difficulties or other participant-specific circumstances will be considered under the applicable programme conditions and law.
5.3 Transfers to Another Programme Date
Requests to transfer registration to a subsequent programme date may be considered subject to:
- Availability of an appropriate programme.
- Eligibility requirements.
- Faculty, institutional and logistical arrangements.
- The timing of the request.
- Any previously disclosed transfer conditions.
A transfer is not guaranteed and requires written confirmation from RIAMS.
5.4 Transfer to Another Participant
Registrations are personal and may not be transferred to another individual without prior written approval.
Any proposed replacement participant must independently satisfy the eligibility requirements of the programme.
RIAMS may decline a transfer where it would compromise eligibility verification, programme administration, institutional requirements or patient safety.
6. Instalments, Partial Payments and Outstanding Balances
Certain RIAMS programmes may offer instalment or partial-payment arrangements.
Where such an arrangement is offered, the applicable payment schedule, due dates and financial conditions will be communicated at registration.
Payment of an initial instalment does not necessarily represent payment for a separately cancellable portion of the programme.
A participant who withdraws after entering into an instalment arrangement remains subject to the cancellation conditions and payment obligations agreed at registration, to the extent enforceable under applicable law.
Any amount due or refundable will be calculated with reference to:
- The total agreed programme fee.
- Amounts already paid.
- The applicable cancellation schedule.
- Educational services already delivered.
- Any outstanding amounts lawfully payable.
- Applicable taxes and permissible deductions.
Where an instalment remains unpaid after its due date, RIAMS may provide notice and, where permitted by the agreed terms and applicable law, temporarily suspend further programme access or participation until the matter is resolved.
Suspension of access does not independently determine the final refund or payment entitlement.
7. Discounted Registrations, Bundled Purchases and Promotional Offers
Refunds for discounted or promotional registrations are calculated with reference to the amount actually paid rather than the original listed price.
Where a purchase includes multiple products or services, such as a course and a discounted Community add-on, the applicable refund calculation will take into account the individual products purchased and any disclosed conditions attached to the bundle.
If cancellation of one component affects eligibility for a bundle discount, the refund may be recalculated according to the pricing conditions disclosed at checkout, where permitted by law.
A refund for one component does not automatically cancel or extend access to another independently purchased component.
Any restrictions associated with promotional registrations will be clearly communicated before purchase.
8. Refund Requests, Review and Processing Timelines
8.1 Submitting a Request
Cancellation and refund requests must be submitted in writing to: contact@riams.co.in
The request should include:
- The participant’s registered name and email address.
- The name of the course, Community or programme.
- The payment or registration reference.
- The reason for requesting cancellation or a refund.
- Any relevant supporting information.
8.2 Review and Decision
RIAMS will review the request against the applicable programme conditions, purchase details, services delivered and relevant legal requirements.
Where a refund is approved, RIAMS will communicate the approved amount and any applicable deductions or adjustments.
Requests requiring further verification may take additional time to assess, and the participant will be informed where further information is needed.
8.3 Refund Processing
Approved refunds will ordinarily be initiated through the original payment gateway or payment method.
RIAMS aims to complete refund initiation within 7–14 business days of approval, unless a shorter period is required by applicable law.
The time required for the refunded amount to appear in the participant’s account may vary according to the payment method, bank, card issuer and payment service provider.
The stated processing period does not limit any shorter statutory deadline.
8.4 Alternative Refund Methods
Where a refund cannot reasonably be completed through the original payment method, RIAMS may arrange an appropriate alternative method after completing necessary verification and complying with applicable payment regulations.
9. Currency, International Payments and Banking Charges
Refunds will ordinarily be processed in the original transaction currency and through the original payment method.
For international transactions, the amount ultimately credited may vary because of exchange-rate movements, card-network conversion rates or charges imposed by the participant’s bank or payment provider.
RIAMS does not control exchange rates or independent charges imposed by third-party financial institutions.
Any deductions made directly by RIAMS will be limited to those disclosed, justified and permitted under the applicable purchase terms and law.
10. Exceptional Circumstances
RIAMS recognises that exceptional circumstances may affect a participant’s ability to attend a programme.
Requests arising from serious illness, medical emergencies, bereavement or other significant unforeseen events may be reviewed individually, with appropriate supporting documentation where reasonably necessary.
Depending on the circumstances, RIAMS may consider a transfer, credit, partial refund or another suitable resolution.
Any discretionary accommodation will be confirmed in writing and does not automatically amend the published cancellation terms for other registrations.
Nothing in this section limits statutory rights or remedies.
11. Refunds, Disputes and Statutory Rights
This Policy is intended to provide clear and consistent arrangements for programme cancellations and refunds.
Its provisions apply only to the extent permitted by applicable law, including relevant consumer-protection, e-commerce, contractual and payment regulations.
Where any provision conflicts with a mandatory statutory requirement, the applicable legal requirement will prevail.
RIAMS will review concerns relating to incorrect charges, duplicate payments, non-delivery of purchased services or disputed refund calculations in accordance with the relevant transaction records and applicable law.
Participants retain their rights to seek remedies through the appropriate statutory or legal channels.
12. Changes to This Policy
RIAMS may revise this Refund & Cancellation Policy periodically to reflect changes in educational offerings, operational arrangements or applicable law.
The latest version will be published on the RIAMS website with an updated revision date.
The cancellation and refund conditions applicable to an existing purchase will ordinarily be those disclosed and agreed at the time of registration, subject to mandatory legal requirements.
Material changes affecting existing registrations will be communicated where appropriate.
